The National Cowboy & Western Heritage Museum offers proxy service for those unable to attend the Traditional Cowboys Arts Exhibition & Sale Saturday, September 27, 2025, but would like to make a purchase.  

Each person using the proxy service must pay a $85 proxy fee to cover the cost of facilitating their ballots. ALL SALES ARRANGEMENTS MADE THROUGH THE PROXY SERVICE ARE FINAL.   

If you wish to bid on one piece, list that artwork and the pertinent information on the proxy form. If you decide to bid on two pieces of art, list both items on the proxy form. In this case, you must indicate your preference whether you want both, or if you get #1 then you do not want #2 and so forth.

IT IS UNDERSTOOD THAT IF MORE THAN ONE ARTWORK IS LISTED AND YOU ARE DRAWN ON ALL, YOU ARE OBLIGATED TO PURCHASE ALL ARTWORKS UNLESS OTHERWISE INSTRUCTED (in writing) NO LESS THAN 24 HOURS PRIOR TO THE START OF THE SALE. 

You may fax or email your completed proxy form to (405) 478-4714 or [email protected] or [email protected]. The ballot facilitation fee will be charged to you to place the bids on or before September 27, 2025. Proxy ballots must be submitted by 3:00 p.m. on Saturday, September 27, 2025. 

At 6:30 p.m. two names are selected and posted. The first person (or proxy) has 20 minutes to confirm the sale. A horn will blow to mark the end of 20 minutes. If the first person chosen has not claimed the work of art, then the second person becomes eligible to purchase the work, etc. If you have bid by proxy and your name is drawn, the piece will automatically be listed as sold. 

All purchases are final, and the purchaser must notify the Museum in writing 24 hours prior to the sale to revoke the purchase proxy. The Museum reserves the right to carry out the sales contract via a secured credit card on file if payment arrangements have not been made by the following Wednesday after the sale. Any incomplete payments will result in revoked purchasing privileges in all future Museum art sales. Visa, MasterCard, American Express and Discover are accepted and subject to a 3% credit card fee. Ownership of piece transfers to the buyer at time of purchase. The piece will stay on display in the exhibition until October 12, 2025. Shipment will then be arranged with the buyer and the buyer is responsible for all shipping fees. Buyers shipping / picking up artwork in the state of Oklahoma must pay OK Sales Tax. Change of shipping address post-sale may result in additional sales tax fees at buyer’s expense. Sales tax exemptions must be presented at time of purchase. Buyers paying by check must ensure their check arrives by Wednesday, October 1, 2025. If your bid is selected, and other payment arrangements have not been made, your credit card will be charged on or around the first Wednesday after the sale. Please notify your credit card company that a large charge is authorized at that time.
